How it works

From first ring to booked job.

Five stages, all of them running whether or not anyone is at the desk.

Every panel below illustrates the mechanism · None of them is a customer record

Stage 01

The call arrives

Calls forward from the number you already advertise. Nothing changes for the caller and nothing changes on your marketing. The phone is answered in about a second, every time, including the calls that arrive while your team is already on another line.

What we need from you: your existing number and permission to forward it.

Stage 02

Qualification

A natural conversation, not a phone tree. Every caller is asked the same questions in the same order: what has happened, where they are relative to your service radius, how urgent it is, and how they intend to pay. Consistent questions are what make the records comparable later.

What we need from you: your qualifying questions, or ours as a starting point if you would rather begin there.

Live transcript
Intake Thanks for calling. Tell me what has happened and I will get someone out to you.
Caller There is water coming through the ceiling in the back bedroom.
Intake Understood. Whereabouts are you? I will check that against the service radius.
Caller Across town. Fifteen minutes out, give or take.

Stage 03

Booking

The system reads your live availability and reserves the slot while the caller is still on the line. No callback, no phone tag, no “someone will be in touch”.

What we need from you: calendar access and your booking rules — travel time, job durations, which slots are protected.

Stage 04

Confirmation

The customer gets a text immediately, and a reminder before the appointment. Your team gets an alert with the whole picture, not a name and a number.

What we need from you: who should be alerted, and how.

Confirmation sent
You are confirmed for Tuesday at 14:00. Reply R to reschedule. Sent seconds after the call ended
Reminder Sent again ahead of the appointment
Team alert Caller, problem, urgency, payment route, booked slot
Sent to Whoever you nominate, however you want it

Stage 05

The record

Contact details, full transcript, qualification answers and next step, written into a CRM the same moment the call ends. Nothing depends on someone remembering to write it up.

What we need from you: your CRM if you have one. If you do not, ours is included.

Record written
Contact Name, number, callback preference
Service needed Water through the ceiling, back bedroom
Location Inside your service radius
Urgency Same day if possible
Payment Insurance claim
Transcript Full, word for word, attached to the record

Onboarding

What the first two weeks look like.

  1. Days 1–3

    Mapping

We listen to how your calls actually go, agree the qualifying questions, and write the call flow.

  2. Days 4–8

    Build

The system is configured against your calendar, your service rules and your CRM.

  3. Days 9–12

    Testing

We run real scenarios against it — the awkward callers, the emergencies, the wrong numbers — and fix what breaks.

  4. Day 13 onward

    Live, and watched

Calls start routing. We listen to real recordings every month and tune the script as your business changes.

The stack

Built on infrastructure you could name.

We are not asking you to trust an unnamed black box. Voice runs on established telephony infrastructure with your own SIP trunk, so the number stays yours. Booking, records and automation run on tooling that is industry-standard rather than homegrown. The reason this matters is not the logos — it is that nothing here is a prototype that disappears if we do.

See what this looks like on your calls.

Fifteen minutes on your call volume, your hours, and your average job value — and a real number for what your phone is costing you. If that number is small, we will tell you so.
